Terms & Conditions

Gaming Squad is referred to as ‘GS’.

Booking Confirmation

50% deposit required.  Booking confirmed once we have acknowledged receipt of your payment.  Deposit is 50% of the cost of hiring the van plus any surcharges.  Remaining balance must be paid before the day of the event. You are paying for the hire of our mobile party venue.

Cancellation Policy

If you need to cancel or change your party for whatever reason please email

Once we have responded you will get a refund as follows: –

  • 100% refund of monies received when you notify us 4 weeks or more prior to start of event.
  • 50% refund of monies received when you notify us within 2-4 weeks of event date.

Written proof of your date of cancellation must be supplied if requested.

No refund of monies will be issued if you notify us within 2 weeks of the event starting.

You can reschedule your party for free as long as you notify us no later than two weeks before your party date. Rescheduled parties can only be rescheduled once and have to take place within 12 months of the original booking date. Any monies received are non refundable on a rescheduled party.

Payment terms

Payment by bank transfer or debit/credit card is preferred. Cheques not accepted. Payment by BACS is free. Payment by any other means incurs a 4% increase in your final invoice. If paying by cash please provide exact money. We don’t provide change.

Unforeseen Circumstances & Liability

We do everything in our power to ensure we arrive on time and deliver a memorable gaming experience for you and your guests. There are occasionally issues beyond our control that get in the way.

In circumstances such as serious illness, extreme weather or any other circumstance which would subject GS or any of its employees or any of its participants to danger we reserve the right to cancel, alter or delay your booking. We will inform you of any such issue as soon as possible and offer alternative arrangements.

In the event of traffic or other circumstances beyond our control preventing us from being able to fulfil your booking our liability shall be limited to a refund of any monies paid in relation to the contracted event.  A pro rata reduction in the party hire fee will be paid in the event of a delayed start only if you fail to receive the full time you paid for. No further compensation will be paid irrespective of any loss of earnings. Depending on the situation we will also offer to exchange the booking to another date.

Day of the party

If the party starts later than the agreed time because GS were not ready (except for unforeseen circumstances – see above) we will continue until you have had the time you paid for. If the party is delayed because of you e.g. you don’t turn up on time, payment not received etc the party will still finish at the agreed time. If no-one turns up or payment has not been received within 30 minutes of the agreed start time GS will leave and no refund will be given. Please make sure someone is available 30 minutes before party to allow us to set the van up.

Internet Connectivity

We cannot guarantee an internet connection. If for any reason an online party cannot be provided i.e. poor connection, system updates etc we will revert to the successful offline parties we ran for the first three years. Basically the only real difference is you won’t get Fortnite.

Minimum Age

Minimum age for children’s parties is 7 years old or those in Year 2 of school. For school year 2 and year 3 parties we accept a maximum of 8 people on the van at any one time. Any children in school year 1 or under must be accompanied by a responsible other throughout their stay on the van.

Age Appropriate Gaming

GS will not allow children under the age of 18 to play games rated 18.

Food and Drinks

No food and drinks to be bought on or consumed within the van.


No smoking on the van.


If we deem your party location to be too remote for us to safely get the van to we will inform you of this and ask that you provide an alternative location.

Safety of Participants

Employees of GS reserve the right to send away any person who in their judgement is found to be unmanageable or a danger to the safety or enjoyment of others. In this event no refund will be given to said individual(s) nor to the party in cases where this leads to a cancellation of the booking. Any additional costs involved in removing said participant(s) will be borne by the client.

Our van may not be suitable for those who suffer from photo sensitivity. Please notify us in writing beforehand if you have any concerns. GS will not he held responsible for any related incidents.

For the comfort, health and safety of all concerned, there will be no smoking during any of the activities. The Company will accept no liability for problems arising from failure to accept and/or respond to the authority and instructions of the appointed staff.

Media Rights

Photographs, videos and other recorded media taken during your event may be used by GS for marketing or advertising purposes. If this is unacceptable please notify us beforehand.  Any material published that you are unhappy with will be removed upon request.  Safeguarding of your children is of paramount importance.


In the event of any damages or ‘accidents’ caused by participants to vehicles or GS equipment, except by fair wear and tear, the client will be charged the full replacement cost. Any damages must be reported to a member of GS immediately.

Under no circumstances can we be held responsible for any damage to driveway or ground’s that is considered to be caused by our vehicle, crew or party goers. It is the party organiser’s responsibility to ensure the grounds are suitable to support our vehicles and where unsure to seek advice from a qualified person.

It is the customers responsibility to provide access to a reliable power socket on the mains ring. Any damage to the GS van, its equipment or venue caused by a faulty electric supply will be borne by the customer.

Event Information

All information given in any literature produced by or on behalf of GS is given in good faith and is intended as a guide to services available and may be altered without notice to suit differing seasonal or other conditions. All information is correct at time of going to press.

Complaints Procedure

If you have any complaint during your booking, please notify your GS representative immediately. We will do our utmost to find a satisfactory solution. In the event that you are not satisfied then please explain in writing to the owner of GS as soon as possible after the date of your booking. Your feedback is important and will be treated as such.

Administration fees

£5 administration fee is applied to any request to refund monies.


The Company is covered by all necessary insurances.
